Terms of service

The rules of the road

These terms govern your access to and use of the IKAN relocation portal. Access is currently by invitation, and the portal serves four populations — relocating assignees and their families, corporate RMC clients, external vendors, and IKAN staff. By using the portal you agree to these terms.

1Acceptance of these terms

By accessing or using the portal, you agree to be bound by these terms and by our privacy notice and cookie policy, which are incorporated by reference. If you are using the portal on behalf of an employer, an RMC, or a vendor organisation, you confirm you are authorised to accept these terms for that organisation. If you do not agree, do not use the portal.

2Who may use the portal

The portal is invitation-only. You may use it only if you have received a valid invitation and fall into one of the supported roles (assignee, accompanying family member, RMC user, vendor, or IKAN staff). You must be at least 18 to hold your own account. Where a relocation involves children, their information is managed by the accompanying parent or guardian.

3Accounts & security

  • Keep your sign-in credentials and magic links confidential; they are personal to you.
  • You are responsible for activity under your account. Tell us immediately at support@ikan.co.in if you suspect unauthorised access.
  • Provide accurate information and keep it current — your relocation depends on it.
  • Access is scoped to your role; do not attempt to reach data or surfaces outside your assigned scope.

4What the portal does

The portal is the operating layer for your relocation. Depending on your role it lets you upload and track documents, manage immigration, housing, schooling, healthcare, shipping and itineraries, handle approvals and escalations, accept and deliver vendor jobs, and communicate with your case team. Specific features, timelines, and service levels are defined by your relocation mandate or the agreement between IKAN and your sponsoring organisation, not by these terms alone.

5Your content & documents

You retain all rights in the documents and information you upload (“your content”). You grant IKAN a limited licence to host, process, and use your content solely to deliver the relocation services, validate documents, operate AIRA, and meet legal obligations — as described in the privacy notice.

You confirm you have the right to upload what you provide, that it is accurate, and that it does not infringe anyone’s rights. Do not upload another person’s identity documents without authority to do so.

6Acceptable use

You agree not to:

  • Upload unlawful, fraudulent, or malicious content, or anyone else’s data without authority.
  • Probe, scan, or attempt to breach the portal’s security, or access data outside your role scope.
  • Scrape, reverse-engineer, or build a competing service from the portal.
  • Disrupt the service, overload the infrastructure, or interfere with other users.
  • Misuse AIRA — for example to generate content unrelated to your relocation or to circumvent review controls.

7AI assistance (AIRA)

AIRA, our AI layer, drafts emails and documents, validates uploads, answers questions, and can take routine actions on your behalf. AIRA acts autonomously only where it is confident; sensitive actions are routed for human review and audited. AIRA-generated drafts are suggestions — you are responsible for reviewing them before they are sent or relied upon. We do not guarantee that AIRA output is free of errors, and it does not constitute legal, immigration, tax, or financial advice.

8Vendor & payment terms

Vendors using the portal accept job assignments, upload proof of work and compliance documents, and receive payouts. Onboarding and payouts run through regulated payment providers; you must provide accurate banking and KYC details and comply with applicable tax and licensing rules. Fees, payout timing, and service standards are governed by your vendor agreement with IKAN. IKAN is not a party to, and is not liable for, the underlying services you contract to deliver beyond what that agreement provides.

9Intellectual property

The portal, its software, design, the ikan name and marks, and AIRA are owned by IKAN and its licensors and are protected by law. These terms grant you a limited, non-exclusive, non-transferable, revocable right to use the portal for its intended purpose. No other rights are granted.

10Privacy & data protection

We handle personal data under India’s DPDP Act 2023 and the GDPR. The privacy notice explains what we collect, our lawful basis, the processors we use, cross-border transfers, retention, and how to exercise your data-subject rights (including the in-product export and erasure flow). Cookies are covered in the cookie policy.

11Availability & support

We work to keep the portal available and performant, and publish live uptime on our status page. We may carry out maintenance, update features, or temporarily restrict access for security or operational reasons. Support is available at support@ikan.co.in.

12Warranties & liability

The portal is provided on a reasonable-efforts basis. To the extent permitted by law, we exclude implied warranties and are not liable for indirect or consequential loss, loss of profit, or loss arising from your failure to provide accurate or timely information. Nothing in these terms limits liability that cannot be limited by law — including for death or personal injury caused by negligence, fraud, or our obligations under data-protection law. Where IKAN acts as a processor for your employer or RMC, that organisation’s agreement governs the relocation outcomes.

13Suspension & termination

We may suspend or end your access if you breach these terms, if your invitation or relocation mandate ends, or if required for security or legal reasons. You may stop using the portal at any time. On termination, we retain data only as long as the privacy notice and applicable law allow, and you can request export or erasure of your data through our DSAR process.

14Governing law & changes

These terms are governed by the laws of India, and the courts of India have jurisdiction, without prejudice to any mandatory data-protection rights you have in your jurisdiction. We may update these terms; material changes will be notified in-product and the “last updated” date above will move. Continued use after a change means you accept the updated terms.
